Privacy Policy
TransAxis Fleet ("we", "our", or "us") values your privacy. This Privacy Policy explains how information is collected, used, and stored when you use the TransAxis Fleet mobile application.
By using this application, you agree to the practices described in this Privacy Policy.
1. Information We Collect
a) Registration & Profile Information
When you sign up or log in, we collect details to verify your fleet operations and manage your profile. This includes:
- Fleet Name / Owner Name – used to register your business and personalize your account
- Mobile Number – used as your unique identifier and to send OTP verification codes
- Email Address – used to send transaction receipts, invoice details, and booking updates
- Location details (State, District, Address) – used to determine your home base and verify your operational region
- Operating Locations – lists the locations/regions where your fleet is available to provide services
b) Verification Documents & Details
To maintain safety and security within the network, we collect documents to verify credentials:
- License Number – the number of your commercial operating or driving license
- License Front & Back Images – photo uploads of your physical license, which are transmitted securely and stored on our server for verification purposes
c) Trip Location Data
To ensure transparency and validation of cargo dispatch and delivery, the application accesses your device's location services when you initiate or complete a trip. This includes:
- Coordinates & Geocoded Address – your latitude, longitude, and human-readable street address are captured and stored on our server at the exact time you trigger the "Start Trip" and "End Trip" actions.
d) Push Notification Token
When notification permission is granted, a Firebase Cloud Messaging (FCM) device token is generated and sent to our server. This token is used only to deliver push notifications related to new booking bids, load offers, trip assignments, and system updates.
e) Fleet & Booking Data
The app displays freight and booking data fetched from the TransAxis secure server. The following data is created or managed by you through the app and stored on our server:
- Vehicles & Drivers – trucks and driver profiles you register and manage under your fleet
- Trip Bookings – details of bookings you accept, bid on, or assign to drivers
- Notifications – alerts sent to you are stored and marked as read/unread
No sensitive personal information such as government financial account numbers, continuous background tracking, or contacts list data is collected.
2. Permissions Used and Their Purpose
TransAxis Fleet requests only the permissions necessary to deliver core features:
🔔 Notification Permission
- Used to send push notifications for new load offers, trip confirmations, and dispatch alerts.
- Requested in accordance with operating system prompt guidelines.
- Denying this permission does not affect any other core features, although you may miss instant load alerts.
🖼️ Photo Library / Camera Access
- Used to select or take photos of your operational license (Front & Back) for account activation verification.
- Requested only when you tap on the license upload fields during registration.
- Photos are encrypted and uploaded securely to our verification server.
📍 Location Services
- Used to capture coordinate details when starting and completing trips.
- Requested in the foreground at the moment you start or end a trip.
- This permission is required to verify the location of load pick-up and delivery.
🌐 Internet Access
- Required to communicate with the TransAxis server for managing vehicles, accepting loads, and updating profiles.
- All network calls utilize secure HTTPS protocols.
3. How We Use the Information
Collected information is used only to:
- Authenticate your identity and maintain a secure session using mobile OTP verification
- Verify your commercial legitimacy through license documentation
- Display and manage your fleet list (vehicles, drivers, operating locations)
- Route load booking offers, bidding opportunities, and trip history details
- Deliver real-time push notifications regarding booking statuses
- Optimize application performance, fix bugs, and ensure security
4. Data Storage and Security
- All communication between the app and our server is secured using HTTPS encryption.
- Uploaded license images are encrypted and stored in secure server directories with strictly controlled access.
- We do not sell, rent, trade, or misuse user information.
5. Data Sharing
We do not share user data with third parties, except:
- Firebase (Google) – Your FCM device token is shared with Firebase solely to route push notifications to your device. No other personal data is shared with Google through this app.
- Legal obligations – When required by law or governmental authority.
6. User Control
Users can:
- Grant or revoke notification and photo library permissions via device Settings at any time
- View and manage their fleet profile details from within the app
- Log out at any time, which clears local session tokens
- Uninstall the app at any time
7. Changes to This Privacy Policy
This Privacy Policy may be updated from time to time to reflect changes in our practices or for legal and operational reasons. Continued use of the app after the updated policy has been published indicates acceptance of the revised policy.
